Cogi Desktop software
The software is the easiest and most convenient way to make calls using Cogi when you're at your computer. Just enter a phone
number and click to start Cogi. We'll ring your phone first and when you answer it we instantly dial the number you want to call.
That's it! In your account settings, select the phone number you want to be displayed in Caller ID when you place calls using Cogi.
On the Web
Log into your account from any computer and click the "Make Call" button. That will open the web version of the software, which allows
you to make a Cogi call from your computer.
Mobile
When away from your computer, use the Cogi Access Number to make a Cogi call. Dial the Access Number, follow the
simple log in instructions, and then dial the number of the person you want to call. Save the Access Number in your cell phone contacts for easy access.
Meetings
Cogi turns any speaker phone into a note-taker for your in-person meetings (when you're not on the phone with someone).
Use Cogi Meeting from the Desktop Software or by calling the Cogi Access Number while away from your computer.
Memos
Cogi turns any phone into a dictation device. Use it to record personal memos, reminders to yourself, and new ideas that you come up with while
on-the-go. Simply call the Cogi Memo Number and start speaking. Cogi will automatically begin recording and will
transcribe your memo for you.
Inbound
Conference Cogi in to any call for quick and easy recording. Just follow the instructions on this page for your phone.
When using Cogi, you must comply with all applicable call recording laws, which vary from state to state. In most states, only one person (i.e., you) is required to know that a call is being recorded.
There are 12 states that require that ALL parties to a conversation consent to being recorded: California; Connecticut; Florida; Illinois; Maryland; Massachusetts; Michigan; Montana; Nevada; New Hampshire; Pennsylvania; and Washington. When conducting an inter-State call, you must be aware of the recording laws governing all States involved.
Federal law requires only one person's consent to record a call, however since State laws take precedence over Federal laws, it is better to err on the side of caution. International law varies by nation.
Cogi recommends following call recording laws when using Cogi to record in-person conversations. Obtaining consent from all parties involved before sharing a conversation with others is also recommended.
The best way to protect yourself while recording phone calls or in-person conversations is to secure consent from ALL parties to a conversation, particularly when calling out-of-state.
*Call recording information provided by Cogi cannot be considered legal advice by any means. Cogi does not guarantee that this information is up to date as laws may change periodically.
Cogi captures your call and takes notes so you don't have to. Without the distraction of taking notes, you can truly focus on the conversation. No more "…wait, let me write that down" during your calls.
Personal follow-up effectiveness: After a call, most people have to interpret their handwritten notes and then enter action items into a memo or into a project plan. Cogi lets you instantly review (read or replay) exactly what was said – so you can quickly and accurately remember everything that needs to get done. With Cogi, nothing falls through the cracks.
Keeping everyone on the same page: Think about it…most professionals spend tons of time after calls trying to summarize in email what was said during a conversation. Not only is that process time consuming, but all too often important points get left out or misinterpreted. Email is a solid business tool, but it's lousy for communicating the nuances that occur naturally in any conversation.
Cogi lets you share conversations with anyone. Just enter their email address and click a button. They can replay the entire conversation, listen to the highlighted portions, or read the transcript of those highlighted moments – it's as if they were there with you on the call. Nothing gets lost in translation.
Archiving: Who said "what", "when"? It's a common question. Most of us have forgotten what we've committed to at some point in our careers. With Cogi, you can quickly search your conversations…simply enter a keyword and Cogi will search your call list and transcripts for you.
Cogi lets you highlight the important parts of a conversation for easy recall later on. When reviewing the audio of a call, you can quickly jump to the parts that were important and you can even title each highlight for easier recall.
The Desktop Software makes it easy to create a highlight with its highlight button, and you can use your phone's keypad to mark a highlight when using the Access Number. Standard highlights are 30 seconds long (15 seconds backward and 15 seconds forward from the moment you click), or you can create longer highlights of any length.
You can also add highlights to a conversation after the call by logging into your Portfolio online.
If your account settings have Transcription set to "on", then each time you mark a highlight, whether during a live call or after the call is completed, Cogi will automatically transcribe that portion of audio. Note that there are fees associated with transcription, based on which plan your account it set up under.
Transcription is currently available in English (other languages coming soon).
Current fully-automated, computer-based speech recognition systems simply can't provide satisfactory transcription accuracy (especially in circumstances with multiple speakers or background noise) – that's why we use a patent-pending combination of speech-to-text technology, advanced speech processing, and when necessary, human assistance to ensure transcription quality. To ensure your privacy, our patent pending-process breaks all conversations into small anonymous segments, maximizing conversational confidentiality (i.e., no transcription agent hears an entire conversation or even large, contiguous segments of a given conversation).
Transcription turn-around time varies depending on the time of day, and the overall transcription load. We are constantly working to improve our turn-around times – it's our goal to provide 3 day transcription (for most customers). However, if you use more than 10 highlights per day, those transcription requests may be delayed. Cogi sends you an email notification to let you know your transcripts are ready.
Cogi subscribers can upload audio files in a wide variety of formats and up to 1000 MB filesize to their online Portfolio. Uploads will be shown in the call list as soon as they are processed by Cogi. Processing will typically take a few seconds to a few minutes depending on the size of the uploaded file, at which point the recording will be available for playing, sharing, highlighting, etc.
Cogi subscribers access their conversations via the web (just like accessing your stock or banking information). And like those web-based services access to your account (your conversations and account information) is via a secured Internet connection. When you share a conversation with someone, they'll only have access to that conversation.
